Getting started

From nothing to a downloaded archive: create an account, connect a mailbox, create a job, start it with a licence, build the files, download them.

1. Create an account

Go to app.mailgestor.com and choose Create your account. You need an email address, a password and a name for the account. The account is where connections, jobs and licences live; you can invite colleagues to it later (see Team and roles).

After signing up, the guided setup opens and walks you through the first connection. You can return to it any time from the overview while the account has no connections.

2. Connect a mailbox

There are three ways in. The guided setup explains each and starts the one you pick.

  • Gmail account. You sign in to Google as the mailbox's owner and allow read-only access. One mailbox per connection. Right for your own mailbox or one you have the password to.
  • Google Workspace organisation. A Workspace administrator authorises Mailgestor in the Google Admin console, then signs in once to prove they control the domain. Every mailbox in the directory becomes available. See Google Workspace.
  • Microsoft 365 organisation. A global administrator grants admin consent, then signs in to the same tenant to prove control. Every user with a mailbox becomes available. See Microsoft 365.

A connection holds the credential. It archives nothing on its own.

3. Create a job

Open Jobs, then New job, or use the link the guided setup shows once the connection exists.

  1. Choose the connection.
  2. Tick the mailboxes to archive. For an organisation, the list comes from its directory; for a Gmail account it is the one mailbox.
  3. Save. The job appears as Pending.

Mailgestor then measures each mailbox in the background and shows its size and message count on the job page. A mailbox over 50 GB is refused, and accounts in a directory that have no mailbox are dropped from the job. Nothing starts until you say so.

4. Buy licences and start

One licence archives one mailbox. Open Licences, choose how many, and pay through Stripe Checkout. The balance sits on the account. Prices step down within a purchase; see Licences and pricing.

Back on the job page, choose Start. Starting takes one licence per mailbox from the balance. If the balance is short, the job stays Pending and the page says how many more licences it needs.

5. Watch it archive

The job page updates on its own: items archived out of the total, throughput, time remaining, and a log of each run. A big mailbox can take hours; you can close the page. Runs resume from checkpoints if anything interrupts them, and after the first pass Mailgestor runs catch-up passes for mail that arrived meanwhile. When the job is Archived, the person who created it gets an email.

6. Build the files

On the archived job, choose New export, pick the formats you want per mailbox, and confirm. Exports build one at a time per job with live progress. Formats a mailbox has nothing for are skipped. See Exports and downloads.

7. Download

Each finished export lists its files. Download them from the job page. Files are deleted seven days after they are built, so download promptly and keep your own copies: they are the product. The archive stays in the app for six months after its last archive pass, so you can build the files again in that time; after that it is deleted with a week's notice.
