Settings and deletion

Account settings

Under Settings:

  • Download file size. The largest file a job's downloads are split into for exports built from now on: 1 GB by default, larger sizes, or a single file for the whole mailbox. Owners change it.
  • Team. Members, invitations and roles. See Team and roles.
  • Operations. For platform operators only; customers can ignore it.

Retention

Exports are deleted seven days after they are built.

Archived mailboxes are kept for six months after their last archive pass. When that runs out, deletion is scheduled with a week's grace: the account's owners are emailed, the mailbox page shows the deletion date, and choosing Cancel deletion there keeps the archive for another six months. Archiving the job again also restarts the clock. Deletion is permanent: once a mailbox is purged, Mailgestor holds nothing and cannot rebuild the files. Download what you need before then.

A connection that has not run a job for six months has its credential removed; see Connections.

Deleting a mailbox

Open the mailbox from its job and choose to delete it. It is purged after a week's grace, during which the request can be cancelled from the same page. The page also shows when the archive would expire on its own. Jobs that included it keep their record; the content is gone.

Deleting the account

An Owner can delete the whole account under Settings. Everything is purged after the grace period: connections and their credentials, archives, exports, the audit log and the members. The request can be cancelled during the grace period. Unused licences are lost with the account, so use or ask about a refund first.

Provider access

Removing a connection deletes its credential from Mailgestor. To withdraw access on the provider's side as well, see the last section of Gmail, Google Workspace or Microsoft 365.
